The data we collect & process

We collect, use and are responsible for certain information about you. In doing so we are regulated under the General Data Protection Regulation which applies across the European Union.

Please keep us informed if your personal data changes - it is important that the personal information we hold is accurate and up to date.

During the course of operating our Senior Move Manager business, we collect personal information from clients including: name, postal address, new address, email address, phone numbers, date of birth. We process this data to supply clients with the services they have purchased and to keep records of such transactions. Our lawful ground for this processing is the performance of a contract between us and the client.

We also collect personal information from people who provide services to us. In this context, personal information we gather may include: names, business details, contact details, financial and payment details, insurance details, qualifications and skills.

Personal information provided by third parties - we may receive information about our clients from other sources (such as retirement developers), which we will add to the information we already hold in order to help us provide services to our clients and to improve and personalise our service to our client.

Personal information about other individuals. If you provide information on behalf of someone else as an alternate contact or next of kin, you confirm that the other person has agreed that you can give consent on his/her behalf to the processing of his/her personal data.

Sensitive data

We will only ask you to provide sensitive personal information if we need to for a specific reason. If we request such information, we will explain why we are requesting it and how we intend to use it.

The sensitive personal information we might request could relate to any physical or mental health conditions. We will only collect your sensitive personal information with your explicit consent.

Children

We do not knowingly collect personal data relating to children under the age of 16.

We collect personal information via our website (contact form) . We also collect personal information when you contact us (or our answering service) via the telephone, email or other websites where our service might be featured. We may receive data about you from companies that engage us to provide their clients with support services or who ask us to make contact with you as you have expressed an interest in engaging our support service. We collect data from feedback forms.

Contracts -

Where you make enquiries about engaging our support service you become a potential client, we need to collect personal information about you so that we can take steps to enter into a contract with you. Once you have become a client, we need to collect and use personal information to provide services to you and to be paid in return for our services under our contract with you.

We collect and use personal information from our customers and partners to comply with our legal obligations.

Legitimate business interests -

We collect personal information to follow up on enquiries and provide quotes for our support service.

If we propose to use your information for any other purpose(s) we will ensure that we notify you first. If we need your consent to use your information for these other purposes, we will give you the opportunity to opt in or to refuse.

  • our TSMP partners - our senior move manager colleagues who deliver services on our behalf
  • our administration provider, accountant, insurer, IT provider
  • our trade association

  • any person or agency if we need to share that information to comply with the law or to enforce any agreement we may have with you or to protect the health and safety of any person
  • any person who you have named who we can contact to discuss your receipt of our service
  • any person who is your agent or representative - for example, power of attorney, a legal guardian or person administering a will
  • any person who we are negotiating with as a potential buyer of our business or if we are proposing to merge our business with another business
  • As we use an outside party to process your information (our administrator for example), we will require them to comply with our instructions in connection with the services they provide for us and not for their own business purposes.

We will not disclose your data to third parties, nor will we sell your data. We maintain confidentiality at all times.

Data Security & Retention

We have appropriate security measures in place to prevent personal information from being accidentally lost, used, altered, disclosed or accessed in an unauthorised way.

We allow access to your personal data only to those who have a business need to know such data.They will only process your personal data on our instructions and they must keep it confidential.

We will use technical measures to safeguard your personal data, for example - password protected storage.

We have procedures in place to deal with any suspected data security breach. We will notify you and any applicable supervisory body of a suspected data breach where we are legally required to do so.

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

The law requires us for tax purposes to keep basic information about our customers (including identity, financial and transaction data) for six years after they stop being customers.

Transfer of personal data outside of the EEA

We store data on international platforms which are GDPR compliant for the transfer of data.

Your rights

Under the GDPR you have rights in relation to your personal data that include the right to request access, correction, erasure, restriction, transfer, to object to processing, to portability of data and (where the lawful ground of processing is consent) to withdraw consent.
